Privacy Policy

How we collect, use and protect your personal information when you use our website, contact us or apply for a job.

Who we are

This website is operated by Inkateck Technologies Ltd ("Inkateck", "we", "us"), with offices in London, United Kingdom and Nairobi, Kenya. We are the data controller for the personal information described in this policy and we process it in line with the UK General Data Protection Regulation (UK GDPR), the UK Data Protection Act 2018 and the Kenya Data Protection Act, 2019.

If you have any questions about this policy or your information, contact us at IT@inkateck.com.

Information we collect

  • When you contact us — your name, company, email address, phone number, the service you are interested in, your budget range and your message.
  • When you subscribe to our newsletter — your email address.
  • When you apply for a job — your name, email address, phone number, location, LinkedIn or portfolio link, your CV and any cover letter or information you choose to include.
  • When you browse our website — technical information such as your IP address, browser type and the pages you visit. We use this to keep the site secure (for example, to block spam and abuse) and, only if you agree, to understand how the site is used. See our Cookie Policy.

Please do not send us sensitive information (such as health details) unless we specifically ask for it.

How we use your information and our lawful basis

  • To reply to enquiries and provide quotes — necessary for steps before entering into a contract with you, or our legitimate interest in responding to business enquiries.
  • To send our newsletter — your consent. You can unsubscribe at any time.
  • To assess job applications — necessary to take steps at your request before a possible employment contract, and your consent, which you give when you submit an application.
  • To keep our website secure and working — our legitimate interest in protecting our systems and users.
  • To understand how our website is used (analytics) — your consent, given through our cookie banner.
  • To meet legal obligations — for example, keeping records required by law.

We do not sell your personal information and we do not use it for automated decision-making.

Who we share it with

We only share your information with trusted service providers who help us run our business — such as our website hosting provider, email provider and, if you consent to analytics cookies, our analytics provider. They may only use your information on our instructions and must keep it secure. We may also share information if required by law or to protect our rights.

International transfers

Because we operate in the United Kingdom and Kenya, your information may be accessed by our team in both countries and may be stored by our providers in other countries. Where information is transferred outside the UK or Kenya we make sure appropriate safeguards are in place, such as approved contractual clauses.

How long we keep it

  • Enquiries — up to 24 months after our last contact, unless you become a client.
  • Job applications and CVs — up to 12 months after the recruitment decision, so we can consider you for similar roles, unless you ask us to delete them sooner. If you are hired, your information becomes part of your employee record.
  • Newsletter — until you unsubscribe.
  • Security logs — up to 14 days.

How we protect it

We use encrypted connections (HTTPS), access controls, private storage for CVs that is not accessible from the internet, and regular security updates. Only authorised staff can access the information you send us.

Your rights

You have the right to:

  • ask for a copy of the personal information we hold about you;
  • ask us to correct information that is wrong or incomplete;
  • ask us to delete your information;
  • object to, or ask us to restrict, how we use your information;
  • ask for your information in a portable format;
  • withdraw your consent at any time (this does not affect anything we did before you withdrew it).

To use any of these rights, email IT@inkateck.com. We will reply within one month.

Complaints

If you are unhappy with how we have handled your information, please contact us first so we can try to put it right. You also have the right to complain to the data protection authority: in the UK, the Information Commissioner’s Office (ico.org.uk); in Kenya, the Office of the Data Protection Commissioner (odpc.go.ke).

Changes to this policy

We may update this policy from time to time. The “last updated” date at the top of this page shows when it was last changed.
